Office Policies

Please take a look below for answers to some frequently asked questions about office policies, including how to request medication refills, obtain referrals to specialists, and obtain copies of medical records.

  • Medication Refill Requests

    Need to refill a current medication prescribed by our office? We are happy to process refills for chronic conditions when needed. Please allow at least 3-5 business days for refill requests to be processed.


    Please Note: There may be times when we will need to schedule an appointment for your provider to review the need for ongoing use of your medication before approving a refill.


    Here are the quickest ways to submit a refill request:

    • Option 1 (preferred):  Contact your pharmacy. They can send us an electronic request to fill your prescription.
    • Option 2:  Send us a message via our Patient Portal.
    • Option 3:  If you are unable to use our portal, please call the office with the name of the medication and pharmacy you would like it sent to.
  • Referral Requests
    1.  Please check with your insurance company regarding when you will need to have a referral from us for seeing a specialist or having labwork or testing done. 
    2.  Call us with your insurance information, the name of the specialist you will be seeing, and the date of your appointment.
    3.  Please allow 3-5 business days for your referral to be processed.
  • Scheduling Appointments

    Sick Appointments:

    Call our office to speak to the front desk to schedule an appointment. If you are not sure if it’s necessary to bring your child in, or you would like advice in regards to your sick child, you may leave a message for a nurse or doctor to return your call.


    Well Visit Appointments:

    Can be scheduled up to 3 months in advance. Please check with your insurance company to determine whether you should be scheduling a well visit every 365 days or every calendar year.

  • Late Arrivals

    If you are running late for your appointment, we will do our best to accommodate you. However, there may be times when we will need to reschedule. This is to ensure that other patients aren’t kept waiting and that all of our patients get the dedicated time and attention needed to properly address their medical concerns.

  • Cancelled and Missed Appointments

    We value the time that we have set aside to see and treat your child. If you are not able to keep your appointment, we require 24 hours notice. Cancelled and missed appointments present a cost for us and for other patients who may have needed that appointment. For this reason, same day cancellations and missed appointments without prior notification may be subject to a $25 cancellation fee.

  • Medical Records Requests

    There is no fee for Immunization Records. Abbreviated medical records are $5 and full charts are $15. A discount will be given for the records of each additional child. Please allow 2 weeks for completion.

  • Mask Policy

    Any patients/caregivers ages 2 and up visiting our office with concern for fever, cough, congestion, sore throat, vomiting, diarrhea or other contagious illness will be asked to wear a mask. Additionally, there may be times of the year when the community rates for respiratory disease are high enough (i.e. peak flu season) when we may implement universal masking within our entire office to limit opportunities for spread of viral illness.

  • Antibiotic Policy

    We strive to minimize antibiotic overuse by educating families on proper use and adhering to evidence-based guidelines for responsible prescribing. Since many illnesses are viral and don't require antibiotics, our pediatricians explain alternative treatments and emphasize the importance of natural healing when appropriate.


    Furthermore, we avoid prescribing antibiotics over the phone, as we believe in conducting proper assessments before doing so. Antibiotics are prescribed only when necessary and appropriate, ensuring patient well-being while mitigating the risks of antibiotic resistance and unnecessary side effects.

  • Appointment Policy

    We respect everyone's time and kindly ask that you arrive 5 minutes early for your appointment. While we understand delays happen, late arrivals may need to reschedule to keep us on schedule. 


    Missed or canceled appointments without 24-hour notice may incur a fee, as they impact our clinicians, staff, and other patients.

    Our practice values efficiency by utilizing technology. We encourage you to visit our website, register for our patient portal, and use automated reminders for appointments and routine care or immunizations when available.

  • Vaccine Policy

    The health and well-being of your children are our top priorities. We firmly support the expert guidance and recommendations provided by leading health authorities, including the American Academy of Pediatrics (AAP) and the Advisory Committee on Immunization Practices (ACIP). As such, our vaccine policy aligns with the evidence-based immunization schedule developed by these organizations.

    • Vaccines protect communities. By vaccinating according to the recommended schedule, we help prevent outbreaks and protect individuals who cannot be immunized, such as infants too young for certain vaccines or those with certain medical conditions.
